Education - Bachelor's Degree Skills - Excel - Microsoft Word - Microsoft Powerpoint - Microsoft Access - Microsoft Office Job no: ****** Work type: Staff Location: Newark Categories: Full Time, Human Resources Under the general direction of the Associate Vice President (AVP) for Human Resources, the Administrative Specialist oversees and coordinates activities in the Compensation, Benefits and HRIS units. The Administrative Specialist is responsible for the planning, design, and evaluation of the employee recognition program. The Administrative Specialist provides administrative support and other project-related support to the AVP to ensure that the department's strategic and operational effectiveness initiatives are implemented. Major Responsibilities: Employee Recognition: Manages and promotes the employee recognition program for the university. Provides consultation and guidance on compliance as well as how to utilize the program to recognize direct reports and peers. Plans, organizes, coordinates and supervises the annual Service Luncheon and Dinner as well as the Benefit and Wellbeing Fair. Works in partnership with others to coordinate recurring programs for Human Resources, including UD's United Way Employee Campaign, Employee Appreciation Events (UDid It), Take Our Children to Work and Read Across America. Includes scheduling with all appropriate parties, selecting venues and coordinating with vendors, speakers, and special guests. Manages budgets that are associated with special projects and programs. Collaborates with engagement coordinators in the planning and preparation efforts related to climate/employee satisfaction surveys. Collaborates with others in the development and delivery of a comprehensive, sustainable, employee recognition program. Develops and meets established timelines for program strategy and goal achievement. Collects data and creates visual and statistical reports. Performs assigned benefits administration duties. Administrative Operations: Manages the day to day administrative operations of the AVP units. Responsible for assigned compensation support functions, including drafting reclassification responses and scheduling position evaluation meetings. Assists in the validation of employee records data in preparation for service recognition programs. Maintains calendar and coordinates AVP's retreats, meetings, and travel arrangements; prepares agendas and supporting materials. Performs other job-related duties as assigned. Qualifications: Bachelor's degree with three years of relevant experience, or equivalent combination of education and experience. Organizational skills, with ability to operate independently and to use sound judgment, initiative and discretion in all interactions with constituents. Skill in coordinating activities, evaluating data and establishing priorities. Advanced proficiency in the Windows environment, Microsoft Office (Access, Excel, PowerPoint, Word, Outlook), electronic communication and internet research. Knowledge of Qualtrics and Google Forms is required. Research skills and the ability to collect and organize data. Ability to work independently as well in a team. Ability to work constructively and cooperatively with a wide variety of individuals including faculty and staff. Ability to prioritize own work and multi-task.
