Job purpose

The Accounts Payable Coordinator is responsible for ensuring that all invoices are paid on time to maintain excellent vendor relationships. This position is a critical position for maintaining strong relationships with vendors and drivers, and will ensure that discrepancies are addressed in a professional and timely manner.

Duties and responsibilities

The Accounts Payable Coordinator will:

Review all invoices for appropriate documentation and approval prior to payment
Print and obtain signatures on all accounts payable checks
Process Driver Settlements
File Invoices
Code & Enter vendor invoices into accounting system
Answer all vendor inquiries



High school diploma or equivalent


5-10+ years of related experience required

Professional Certification

None required


Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology
Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
Knowledge of arithmetic and their applications
Knowledge of Microsoft Great Plains preferred


Skill in verbal communication - speaking to others to convey information effectively
Skill in written communication - communicating effectively in writing, with a basic understanding of grammar and usage, as appropriate for the needs of the audience
Skill in active listening - giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
Skill in time management

Skill in identifying complex problems and reviewing related information to develop and evaluate options and implement solutions
Skill in critical thinking
Skill in service orientation - actively looking for ways to help people
Skill in Microsoft Office, especially Excel, Word, and Outlook


Ability to communicate clearly and effectively, listening and understanding information while being able to communicate information and ideas in speaking so others will understand
Ability in deductive reasoning - the ability to apply general rules to specific problems to produce answers that make sense
Ability to develop and maintain positive and professional relationships with co-workers
Ability to work independently as a self-starter or as part of a larger team to accomplish goals
Ability to actively prioritize requests for support and daily tasks that arise in the workplace

Working conditions

This position will be in a standard office environment with limited outdoor exposure and is a primarily sedentary position.

Physical requirements

The ability to sit for long periods of time is necessary as this is a primarily sedentary position. The incumbent may lift up to 10lbs on a regular basis.
